Guidelines for graphic designers

Guidelines for Preparing and Submitting Artwork

File Formats
We prefer PDF files with text converted to outlines or files from the following graphic design programs:

Adobe Illustrator CC
Adobe InDesign CC
QuarkXPress
Corel Draw

Bitmaps
Bitmaps should be in CMYK or grayscale (not RGB) and saved in .tif, .psd, .eps, .dcs, or other lossless formats compatible with Photoshop. JPEG (.jpg) and GIF (.gif) formats have lower quality and should only be used for previews.

The resolution for bitmaps at a 1:1 scale should be 300 dpi.

Text and Colors

All text should be converted to outlines.
All objects should be in CMYK or Pantone colors (not RGB).
We prefer printing with Pantone colors for best accuracy.

Bleed & Margins

For notepads, do not place important design elements closer than 3mm from the cutting line.
For full-bleed printing, please provide a minimum bleed of 1mm.

Submitting Your Artwork

Whenever possible, please compress files into a ZIP archive before sending.
Files up to 20MB can be sent via email to notedeco@notesy.pl.
Larger files should be uploaded to our FTP server: ftp://ftp.notesy.pl.
Please include a preview file in PDF or JPG format.

Packaging Options for Notepads

Each notepad can be individually packed in:

A cellophane bag sealed with a double-sided adhesive tape strip,
Cellophane film with a gold opening strip,
Thermal shrink wrap,
A bag with a Euro hanger featuring a custom print.

Bulk Packaging Options:
Notepads can be packed in small cardboard boxes in the following quantities:

10 pieces,
20 pieces,
100 pieces,
and then placed in firmer bulk cartons.

For larger orders, bulk cartons can be custom printed with individual branding.

Terms of cooperation

Order Terms and Conditions

We are delighted that you are considering purchasing our products.

To accept and proceed with the production of your order, the following conditions must be met:

A written order specifying the product type, quantity, dimensions, packaging type, paper type, number of colors, project details, etc.
Signing of the ORDER – SALES AGREEMENT on our official form by authorized representatives of the ordering company.
Submission of ready-to-use designs or materials for project creation (in electronic format, preferably via email) along with the required color specifications.
For first-time orders, companies must provide a signed copy of their business registration certificate, VAT identification number certificate, and REGON number certificate (or equivalent company identification documents).

The order fulfillment time begins once we receive all necessary materials and the final project approval from the customer. The standard lead time is approximately 14 days.

All materials entrusted to us for project execution (such as data carriers, slides, chromalins, or photos) will be returned after use.

The ordering party is fully responsible for copyright compliance, licensing agreements, and trademark restrictions.

Graphic Design

For standard orders, we do not charge additional fees for notepad graphic design, provided that the customer supplies the logo, text, and other required data in an electronic format.

Production Tolerances

Due to technological constraints, the final produced and invoiced quantity may slightly vary from the ordered amount:

Up to 500 pcs. – up to 10% difference
Up to 2,000 pcs. – up to 5% difference
Up to 10,000 pcs. – up to 3% difference
Above 10,000 pcs. – up to 2% difference

Pricing & VAT

All prices are quoted in PLN per unit. A 23% VAT will be added at the time of invoicing.

Payment Terms

For the first order, a 30% prepayment of the total gross order value is required, based on an invoice issued by NOTEDECO.
The remaining balance must be paid within 14 days of receiving the goods and VAT invoice (unless otherwise agreed in the contract).
For long-term partners, a prepayment is not required, except for high-value orders, where a deposit may be necessary.
If payment is not made within the agreed timeframe, penalty interest will be charged from the due date onward.
